Contact Us form

When you use the Contact Us form on our website, we collect:

  • Name
  • Email address
  • Phone number
  • Your message

This form is provided by Fluent Forms, a plugin running on our website. Submissions are used only to respond to your enquiry.

Join Us form (membership and mailing list)

When you use the Join Us form to become a member and/or join our mailing list, we collect:

  • Name
  • Address
  • Email address
  • Phone number
  • Age
  • An optional message

If you choose to pay your membership fee by PayPal, you will be directed to a PayPal payment page — please see PayPal’s own privacy policy for how they handle your payment information. We do not receive or store your card or bank details from PayPal transactions.

If you pay by bank transfer, we will retain the payment reference details necessary to match your payment to your membership. If you pay by cheque, your payment is processed manually and the cheque is not retained longer than necessary.

3. How we use your information

We use the information collected through these forms to:

  • Respond to enquiries submitted via the Contact Us form
  • Process and administer your membership of the Society
  • Send you our newsletter and updates about the Society’s work, if you have signed up to our mailing list
  • Maintain our membership records

We will only use your information for the purposes you provided it for, unless we reasonably consider we need to use it for another reason and that reason is compatible with the original purpose.

4. Our legal basis for processing

We process your personal information on the following bases:

We keep membership records for as long as you remain a member, and for a reasonable period afterwards to maintain accurate records, in line with our obligations as a registered charity.
